Propertymanagementistheprocessofoverseeingtheoperationandmaintenance
ofrealpropertytoachievetheobjectivesofthepropertyowner.Sometimes
ownersmanagetheirownproperty,particularlysmallpropertiesandparticularly
whentheythemselvesoccupypartofthespace.Butforlargerproperties
orthosewhoseownersliveatadistance,managementisusuallyperformed
byapaidpropertymanager,eitheranindividualbuildingsonlong-term
leases,wheretenantsmaintainthebuilding,paythetaxesandinsurance,
andmailtheowneracheckeachmonth.Butmostresidential,office,retail,
andmanyindustrialpropertiesofferservicesalongwiththespaceover
time.
Propertymanagementhaslongbeenanunderratedfunctionintherealestate
industry.Theneedforprofessionalmanagementdidnotbecomeapparent
untilthedepressionofthe1930s,whennumerousforeclosuresrevealed
apatternofmanagementdeficiencies.Thisoversightmightseemstrange,
sincerunningalargecommercialorresidentialprojectinwhichhundredsorthousandsofpeop
leresideorworkisahighlychallengingtask,callingfortraining,goodjudgment,varietyofte
chnicalskills.Traditionally,
however,emphasisintherealestateindustryhasbeenonthesopermanent
elementsoftheinvestment-goodlocation,construction,andreasonable
long-termfinancing-thanontheday-to-dayoperationoftheproperty.It
hassometimesseemedasifapropertyowner,havingmadeaverylargeinvestment
inthepermanentstructure,assumedthatthepropertywouldrunitself
withaminimumamountofsupervision.
Thisconceptofpropertymanagementhaschangedsubstantiallyinthepast
decade.Inaneraofrisingcosts,ithasdawnedonownersthatgoodproperty
managementisthemajorcontrollableinfluenceonresidualcashflow(i.e.,thenumberofdoll
arsthatendupintheowner'spocket).Itistrue
thatbothrentratesandoperatingexpensesarelargelyshapedbymarket
forcesbeyondthecontrolofanyonepropertyowner(witnesstheverysharp
riseinenergycostsinthe1970s).Butitisalsotruethatcomparable
propertieswithinthesamegeographicareaoftenshowsignificantvariances
inrentalincomeandoperatingcosts.Why?Closeinspectionoftenshows
that“above-average“operatingexpensesandlowerthanaveragerentlevels
resultfrominadequatepropertymanagement.
Theclassicmistakeofthestockandbondinvestormovingintorealestate
involvesunderestimatingtheimportanceofmanagement.Someinvestorshave
thefeelingthatrealestatemanagesitself.
Thereisastoryabouttheimportanceofpropertymanagement.ASanFrancisco
realestatebrokerrecentlynoticedaprojectthatwasonthemarketfor
$1million.Heknewhowthepropertyhadbeenmanagedinthepastandthat
themilliondollarvaluationwasbasedonacapitalizationofhistoric
incomefigure.Heborrowedmoneytobuytheproperty,renegotiatedcertain
leases,andestablishedmoreefficientoperatingprocedures.Insixmonths
hesoldthepropertyfor$1.4millionbasedonthecapitalizedvalueof
thenew,highernetincome.Hiscontributionwasmanagementexpertise.

Therelativelyshorttermofaresidentialleasemeansthattheproperty
managerisundercontinualpressuretomaintainahighrenewalratein
ordertoavoidvacatedunitsthatmustberepainted,repaired,andre-leased
inasshortatimeaspossible.Apropertythatistheoreticallyfully
rentedmay,nevertheless,loseasubstantialamountofrentalincomeif
turnoverisveryhighandmorethanafewweekselapsebeforeeachnew
tenantmovesin.
Amongthetypesofresidentialpropertiesare(1)apartments,(2)condominiums
andcooperatives,and(3)single-familyhomes.
Thepersonalrelationshipbetweenmangerandtenantcanbecrucialtomaintaining
highoccupancy.Turnoveroftenantsresultsinhigheroperatingexpenses
andlowerrentalscollected.Askingfairrentsandrespondingtotenants'
needs(e.g.,maintenanceandrepairs)areoftenthemostimportantvariables
insuccessfulapartmentmanagement.

ofrubbishandinflictingwearandtearontheimprovements.Besidesmaintenance,
dailysecurityisanessentialservice.
Second,thepropertymanagermustkeepalerttopossibilitiesofmaking

Amorespecializedtypeofmanagementisinvolvedwithindustrialproperty-that
is,buildingsthatareusedprimarilyformanufacturingorwarehousing,
andthatmayalsoincludealimitedamountofofficespace.Muchindustrial
propertyiseitherbuiltoralteredtomeetthespecificneedsofatenant
whonormallywillsignalong-termlease(e.g.,10to20years),enabling
thelandlordtorecoverthespecialcostsinvolved.Suchspecial-purpose
buildingsusuallyrequireonlyaminimalamountofmanagementbythelandlord

constantmanagementthananyothercategoryofspacewehaveconsidered.
Inmanycases,conventionbusinessismajorsourceofrevenue.Asaresult,
hotelandmotelmanagementincludesfoodserviceandentertainmentaswell
asthetypicalpropertymanagementfunctions.Marketingisfirstinimportance.
