Managers and HR specialists have to write progress reports, proposals, accide nt reports and evaluati on reports, to name but a few. You should use a for

2、mal report format if your subject matter is important to your organization, if your findings are extensive, if the analysis is complex or if it is to be used over a long period of time. Many of the assignments in the sect bn Practisi ng huma n resource man ageme nt ask you to write a formal report.

3、Remember that a formal report, especially if it is to be sent outside the organization, is meant to reflect and main tai n the orga ni zati ons professi onal image. In this HR-related skill module we shall be concerned only with suggestions for the writers of formal man ageme nt reports. We shall no

4、t try to prese nt a comprehe nsive treatme nt of in formal reports, in cludi ng in formatio n reports, recomme ndatio n reports, justificati on reports, and proposals. See Suggested Further Read ing. Formal reports The main differe nces betwee n formal and in formal reports are in tone, structure an

5、d len gth. The pla nning of every report beg ins with a stateme nt of purpose expla ining the goal, significance and limitations of the project. Reports include primary information from your own observati on and experie nce and sec on dary in formati on gained through library research. Formal report

6、s require careful citati on of in formatio n take n from sec on dary sources in the form of foot no tes, endno tes, and a list of refere nces in a bibliography. The overall prese ntati on of the report may be deductive or in ductive and its in dividual parts may be arran ged chrono logically, geogra

7、phically, spatially or topically .In their discussi on of strategies or pla ns for the orga ni zatio n of formal reports, Guffey and Nagle (2003) define the deductive plan as one that presents big ideas first means beg inning with findin gs, proposals or recomme ndati ons. For example, if you were s

8、tudy ing four possible pay and ben efits programmes, you would beg in by recomme nding to the orga ni zati ons HR strategy the programme you judge to be most appropriate and follow with discussion of the other programmes. It is suggested that the deductive strategy is used whe n the reader is kno wl

9、edgeable and supportive. In con trast, the in ductive strategy or pla n prese nts data and discussi on first, followed by con clusi on and recomme ndati ons. Guffey and Nagle (2003) believe that this seque nce is ofte n most effectie because formal reports gen erally seek to educate the reader (p. 2

10、79). Follow ing the in ductive pla n, a study of alter native pay and ben efits programmes would begi n with in formatio n regardi ng all proposed programmes followed by an alysis of the in formatio n, con clusi ons and recomme ndatio n draw n from that an alysis. General guidelines for a formal rep

11、ort Final presentation of the formal report includes three major sections: prefatory parts such as the letter of transmittal, the title page, table of contents and an executive summary; the body, which includes an introduction, discussion of findings, and summary, conclusions and recommendations; an

12、d supplementary parts such as the works cited, a bibliography and the appendix. ? Letter of transmittal John Bratton and Jeffrey Gold 2003 First impression is important; as such the letter or memo authorizing the report should be given serious consideration. The letter should: (a) Deliver the report

13、 ( Here is the report requested by ) (b) Present an overview of the report (c) Offer to meet to discuss the contents ? Title page The first page of a report contains the title of the report, name of addressee or recipient, authors name and company, date and sometimes a report number. ? Executive sum

14、mary An abridged version of the whole report, written in non-technical terms;very short and informative; normally describes salient features of report, draws a main conclusion, and makes a recommendation; always written last, after remainder of report has been written. ? Table of contents Shows cont

15、ents and arrangement of report; always includes a list of appendices and, sometimes, a list of illustrations. ? Introduction Prepares reader for discussion to come; indicates purpose and scope of report, and provides background information so that reader can read discussion intelligently. The introd

16、uction should motivate the reader. The reader should understand why the problem was researched and why the study represents a contribution to existing knowledge. Guffey and Nagle (2003) suggest the introduction contains seven items: (a) Explanation of how the report originated and why it was authori

17、zed. (b) Description of the problem that prompted the report and the specific research questions to be answered. (c) Purpose of the report. (d) Scope (boundaries) and limitations or restrictions of the research. (e) Sources and methods of collecting information. (f) Summary of findings, if the repor

18、t is written deductively. (g) Preview of the major sections of the report to follow, thus providing coherence and transition for the reader. The introductory paragraph is usually followed by a review of the literature, often given the heading Background . The literature review serves at least the fo

19、llowing purposes in the presentation of the report: (a) Placing the research in a historical context to show familiarity with relevant developments. (b) Distinguishing what has been done from what needs to be done. (c) Showing how your research builds on prior knowledge by presenting and evaluating

20、what John Bratton and Jeffrey Gold 2003 is already known about your research topic. (d) Offering a point of reference for interpreting your own findings. Your report will show how your study expands, revises, or improves knowledge in an area. The goal of the literature review is to demonstrate the l

21、ogical continuity between previous and present work APA, 199(4, p. 11). Discussion of findings A narrative that provides all the details, evidence and data needed by the reader to understand what the author was trying to do, what he or she actually did and found out and what he or she thinks should

22、be done next. Formal reports often use visual aids to emphasize, summarize or clarify information. Some general guidelines apply to the use of visuals: visuals must have meaningful titles and headings; visuals must be identified and discussed in the text; they must be located close to their referenc

23、e in the text; they should be vertical on the page; and the source must be credited if appropriate. Using graphics software packages can create professional-looking visuals. Conclusions A summary of the major conclusions or milestones reached in the discussion; conclusions are only opinions so can n

24、ever advocate action. Recommendations If the discussion and conclusions suggest that specific action needs to be taken, the recommendations state categorically what must be done. References A list of reference documents which were used to conduct the project and which the author considers will be us

25、eful to the reader; contains sufficient information for the reader to correctly identify and order the documents. Although many methods of docume nti ng reports are curre ntly in practice (Guffey & Nagle, 2003) we will discuss only one: the APA method. The America n Psychological Associatio n (A

26、PA) recomme nds in-text citati ons that refer readers to a list of all refere nces cited in the report.
